The RANZCR NZ Branch ASM 2024 will be an on-site conference in Queenstown on 2-4 August. We are also pleased to offer the option to register as an on-demand delegate. Both on-site and on-demand delegates will be able to access the recorded conference content from 9 August to 30 November 2024. There will be no live stream of the conference.

Accommodation

Preferential rates have been secured at the Millennium Hotel, the Copthorne Hotel & Resort Lakefront, and the Holiday Inn Express & Suites. It is strongly recommended that you book your accommodation prior to 24 June 2024 to ensure you gain the negotiated rates.

Terms and Conditions

Payment
Payment can be made on invoice by direct credit (account details will be included on your invoice), or credit card (Visa, Mastercard or Amex). From earlybird close on 24 June, you will be required to pay by credit card during the online registration process. Credit card statements will show debit as Outshine Ltd and will incur a 2% booking fee. All prices are quoted in New Zealand dollars and include GST of 15%. Credit card payments are processed via a secure Windcave gateway, a Level 1 service provider compliant to PCI DSS version 2.0. Confirmation and a tax invoice will be sent via email upon receipt of your online registration.
If your organisation is paying your registration fee and has specific billing requirements, it is the delegates’ responsibility to provide these details during registration. Invoices that fail to meet the organisation's payment policy due to incorrect or incomplete information will not be reissued. The delegate would then be responsible for arranging payment directly and seeking reimbursement from their organisation.

Cancellations
All cancellations or registration changes must be made in writing to the Conference Managers at ranzcr@outshine.co.nz.
Cancellations made prior to 23 June 2024 will be refunded less NZ$100.00 to cover administration costs. No registration refunds for full cancellations or change in registration type will be made after this date, and refunds for tickets to the social functions will be assessed on a case-by-case basis. You may elect to reassign your registration, in which case please contact the Conference Managers with the replacement delegate contact details.
If for reasons beyond the control of the Organising Committee the conference is cancelled, the registration fees will be refunded less a NZ$250.00 administration fee.

Registration Category
It is expected that you accurately select the appropriate category during registration. During the standard registration review process, you may be contacted to request proof of chosen registration type. If requested, evidence must be provided within 7 days; failure to do so will result in an automatic update of your registration category, and you will be required to pay the difference in fees.

On-Demand Conference Platform
The on-demand content of the RANZCR NZ ASM 2024 is being delivered post event, and as such, the Organising Committee and Conference Managers will provide clear guidelines on best-operating systems to use for optimum viewing of the on-demand content for attendees. The Conference Managers will take no responsibility or accept requests for a refund if the guidance for viewing is not followed.

Health & Safety
The Conference Managers, in conjunction with the Organising Committee and the Conference Venue, are committed to providing and maintaining a safe and healthy conference environment for all attendees, and to providing the information needed to achieve this. The Conference Managers, in conjunction with the Organising Committee and the Conference Venue, will take responsibility for providing health and safety procedures whilst on-site, however, all conference attendees need to be aware of their own responsibilities. Each attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy conference environment through:

  • Listening to the health and safety briefing on-site and/or;
  • Reading the health and safety procedure document provided on-site at the registration desk.
  • Ensuring all accidents and incidents that occur on-site at the conference are reported.
  • Informing the Conference Managers, a member of the Organising Committee, or a staff member at the Venue/s immediately of any health and safety concerns.
  • Respecting your own personal safety and that of other conference delegates and employees.
  • Stay home if you are unwell, advise the Conference Managers, and switch to an on-demand registration.
  • Follow all venue and public health guidelines and regulations.

Delegate List
Personal information is collected on behalf of RANZCR. A delegate list will be produced for the conference including name, organisation, and email address. It will be distributed to conference attendees, sponsors, and exhibitors and provided to RANZCR and future organisers of RANZCR conferences. This list will not be provided by the RANZCR NZ Branch ASM Organising Committee to any other third party. Should you not wish your details to be included on the delegate list please indicate during the registration process.

Insurance
The Royal Australian and New Zealand College of Radiologists (RANZCR) and the Conference Managers will not accept any liability for losses associated with the conference. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the conference.

Photography / Video
The Royal Australian and New Zealand College of Radiologists (RANZCR) NZ ASM is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, news organisations, and other companies from photographing or video or audio-taping some conference activities. Additionally, RANZCR may arrange for photos to be taken during the conference. RANZCR reserves the right to use images taken at the conference with your photograph and/or likeness in future marketing materials, including on the internet. The Conference Managers may also use images taken at the conference with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of RANZCR. Conference attendees who prefer their images are neither taken nor published in any format, have the ability to object by sending an email request to the Conference Managers at ranzcr@outshine.co.nz.

Attendance Certificates
Attendance certificates are only provided to individuals registered under delegate categories. Healthcare industry and exhibitor registrations do not qualify for certificates of attendance.

Protecting Your Personal Data
The European Union's General Data Protection Regulation (GDPR) came into effect on 25 May 2018. Whilst the RANZCR NZ Annual Scientific Meeting is based in New Zealand, and we do not always have delegates or speakers attend from the EU, as a responsible Professional Conference Organiser we believe it is important that we follow the GDPR standards to ensure that your personal data privacy is protected. When registering, you will be asked to give your consent to providing your personal information in order to register for the conference.
